This page explains what information the School Portals Student Records Portal collects, why, and who can see it. It's written in plain language rather than legal terms.
What we collect
- Account info: your name, username, email address, and grade/track.
- Academic records: PACE scores, GPA, AP exam results, course choices, and credits earned.
- Extracurricular and internship logs you enter yourself.
- If you use "Scan a Progress Report," the photo or PDF you upload and the scores read from it.
- Basic technical info (like login timestamps) needed to keep accounts secure.
Why we collect it
Solely to run the student records portal: calculating your GPA and graduation progress, letting staff enter and verify grades, and keeping your account secure. We don't use this information for advertising, and we don't sell it to anyone.
Who can see it
- You can see your own records at any time.
- School staff with an admin account can view and edit student records as part of their job.
Where it's stored
Records are stored on servers in Singapore, through our hosting provider (Render).
How long we keep it
We keep your academic records for as long as you're enrolled and after you graduate, mainly so your transcript stays available if a college or future employer needs to verify it. Nothing is deleted when you graduate — your account simply switches to "graduate" status.
As a graduate, you can optionally add extra information to your profile — like the college you're attending, schools you were accepted to, or test scores (TOEFL, IELTS, SAT, etc.). None of this, including your GPA and AP scores, is shown to anyone outside the school unless you actively check a box on your graduate profile opting in to the public Graduates page. Until you do, your information stays exactly as private as any other student's. You can turn this on or off at any time.
